Privacy Policy

1. Overview
This Privacy Policy explains how Voxera ("we", "us") collects, uses, and shares information when you use voxera.us and app.voxera.us (the "Service"). It covers two groups of people: researchers who hold Voxera accounts, and interview participants whose interviews are conducted through the Service on behalf of a researcher.
2. Information We Collect
From researchers (account holders)
- Account data: name, email address, password hash (or Google OAuth identity), and email verification status.
- Billing data: credit balance, transaction history, and Stripe checkout/payment identifiers. Card details are handled by Stripe and never touch our servers.
- Product content: projects, study plans, personas, interview questions, uploaded documents, chat messages with our AI assistants, and generated artifacts (insights, reports, slide decks, audio clips).
- Usage data: standard web analytics (Vercel Analytics).
From interview participants
- Contact and screening data provided by the researcher or by the participant (name, email, screening answers, bio).
- Interview content: audio of the voice interview, its transcript, and analysis derived from it.
The researcher who runs a study is responsible for obtaining participant consent to recording and AI-assisted analysis before the interview takes place.
3. How We Use Information
- To provide the Service: conduct interviews, transcribe them, and generate insights for the researcher who owns the study.
- To process payments and maintain credit ledgers.
- To send transactional email (verification, password reset, participant invitations) via Resend.
- To secure the Service, prevent abuse, and debug failures.
- To improve output quality — e.g., when a researcher rates an AI answer, we use that feedback to evaluate and improve our prompts.
We do not sell personal information, and we do not use your research content to train foundation models.
4. AI Processing
Interviews are conducted and analyzed by third-party AI providers acting as our processors: ElevenLabs (voice conversation), and Anthropic (language models). Interview audio and transcripts are transmitted to these providers to deliver the Service. We configure these providers not to use content submitted through our accounts for model training, per their respective API terms.
5. Sharing
We share information only with:
- Service providers: Vercel (hosting, blob storage, analytics), Neon (database), ElevenLabs, Anthropic (AI processing), Stripe (payments), Resend (email), and, if the researcher connects them, recruitment platforms such as Prolific or Respondent.
- People you invite: researchers can share projects with collaborators; shared data is visible to those invitees.
- Legal requirements: when required by law, legal process, or to protect the rights and safety of users or the public.
6. Data Retention and Deletion
- Your content is retained while your account is active so you can access past studies and insights.
- You can delete individual projects at any time; this removes the associated interviews, transcripts, recordings, and generated artifacts.
- You can delete your account from Settings. Account deletion removes your account data and research content, including files in blob storage. Payment ledger records may be retained where required for tax and accounting purposes.
- Interview participants may request deletion of their interview data through the researcher who ran the study, or by contacting us at support@voxera.us.
7. Security
Data is encrypted in transit (TLS) and at rest by our hosting providers. Access to research content is scoped to the owning account and its invited collaborators. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
Data location and international transfers: our databases and file storage are hosted in the United States. Where we process personal data of individuals in the European Economic Area, the UK, or Switzerland, transfers to our processors rely on Standard Contractual Clauses (or an equivalent lawful transfer mechanism) under our data processing agreements with them.
8. Cookies
We use strictly necessary cookies to keep you signed in (session cookies from our authentication system). We do not use advertising or cross-site tracking cookies.
9. Your Rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal information, or to object to certain processing. You can exercise most of these directly in the product (Settings → Profile, Settings → Delete account). For anything else, email support@voxera.us and we will respond within 30 days.
10. Children
The Service is not directed to children under 18, and researchers may not use it to interview minors.
11. Changes to This Policy
We may update this Policy from time to time. Material changes will be announced by email or in-product notice before they take effect.
